Daycare Software – Using Day Care Manager Pro

Keeping track of your records using daycare software can be a real lifesaver when it comes to saving you time, and energy managing your business. When you are accepting payments and scheduling child attendance things can get hectic pretty quick. Thankfully there are child care software programs that can make things a whole lot easier.

One of the problems I had when I first started out in the daycare business was my record keeping. I was horrible, I mean after all I just wanted to spend time doing what I loved, teaching and playing with children not billing and invoicing. Well let me tell you, without the proper software those tasks can become a big burden. The first time I sent an invoice to someone who had already paid made me lose a little credibility in the eyes of the customer. This is something to avoid at all costs. If I had only had a daycare software program from the beginning I could have avoid several similar foul-ups completely.

A software program that I’ve found that does a good job of helping out is called Day Care Manager Pro. With this software you can manage and review your child care clients billing by organizing all of the vital details and access them at a touch of a button. The programs highly detailed database stores all of your customer details and makes it easy to find files, scan child attendance records and take a look at your billing notes.

what I really like about Day Care Manager Pro is it  lets you handle your childcare billing and invoicing easily and you can generate reports any time you need them or just check the status of an account on demand. The program delivers highly detailed profiles that you build for each child in your business. Delivering professionally detailed reports to your clients using the programs can give a competitive edge over other less savvy competitors.

The Daycare Manger Pro can handle an unlimited amount of clients and allows you to effectively handle your billing and invoicing which helps ensure your cash flow comes in smoothly and on time. A really important feature is the record keeping portion which makes it easy to access important doctor’s records and immunization information, and other health records on each child in your organization. This helps avoid making any mistakes or creating any misunderstandings when dealing with the health of the children in your care.

Daycare at Home – Childcare Tips You Need to Know

daycare at homeWhen starting a child daycare at home there are some valuable things you need to know in order to save yourself from a lot of frustration. Many of these tips can save you tons of money, time, and help to grow your at home childcare business quicker and easier.

Plan Ahead – Do you know how many children you can comfortably accommodate in your home? You’ll want to find out how many children you’d like to care for, consult local regulations in your area, and make sure you have the room necessary to make it happen. Once you’ve made up your mind be careful to stick to your decision. Taking in extra children can seem like a way to make more money. However, the repercussions on your families and your own stress levels from overdoing can make the gain not worth the trouble.

Watch Your Daycare Equipment Costs - When starting out it’s important that you start off slow without spending too much money on expensive equipment or supplies. You’ll want to make sure you let parents know ahead of time in your contract what you will and won’t be providing for children in your care.

Do you expect parents to pack food, drinks, diapers etc, or will you be providing some or all of these items? You may be able to charge an extra fee for these things but you’ll want to make it clear before hand what you charge so there is no confusion.

You may also need a variety of safety gear like outlet covers, child gates, play mats, door latches, play pens, toys, and cribs. Be careful not to put yourself in debt just getting your new daycare business started. Many people look for affordable second hand, or gently used childcare equipment on Craigslist, Goodwill, or at a garage sale while starting out.

Stocking up on craft and art supplies can be a good way to keep children entertained. look for inexpensive art kits, or craft deals and factor in these cost in your total budget.

What will you Charge – Ultimately you are running your daycare business to make money so you’ll need to be clear on what you charge. In addition you will need to set up terms for payment due dates, acceptable forms of payment, and handling late payments. Your contract should lay all this out in an easy to understand fashion so the parents have a clear idea of the terms of your daycare agreement. Always get your contract signed in writing so you can make sure you are protecting yourself and your business.

I’ll post part two of this post soon! In the mean time check out the valuable how to start a daycare course.

Cute Daycare Names

There are many cute daycare names that can be used in some way when you’re opening a daycare. Rather than use them exactly as they are, you should come up with a variation of the names found below.

This way the name will be your own and adequately reflect your business and convey the right message.

The name you choose will represent you and your brand. For that reason it makes sense to select a name that will both be appealing and upbeat. Good daycare names will serve to assure parents that it is a credible and fun loving environment for their children.

Finding the perfect name is not always easy, many of the most popular daycare names are already being used by other child care companies. This is why it’s important to research to determine if it’s been trademarked.

A good example of this is the name, Tiny Tots. While appealing to many it’s been licensed in the U.S and should not be used without possibly facing legal consequences.

Here’s a list of cute daycare names that are also popular. (Remember to mix and match to create your own variation and check for trademarks)

Basics of Starting a Day Care

There are several basics of starting a daycare that you should consider up front before you begin. For one thing you should think about the driving force behind your decision to start. Is it because you desire to have a business of your own. Or, maybe a career in child care is really calling out to you on a personal level.

One of the things that makes child care great is it can definitely satisfy both needs quite well. If you desire to do something that can really make a difference and is a meaningful occupation that helps children to grow, this is it. An occupation in child day care is rewarding and utilizes many skills, all for the betterment of others.

One of the most basic human desires is to discover meaningful employment that impacts you on an emotional level. Do you currently want to have a job that both pays the bills and you’ll love?

Many people who start day care businesses in addition to wanting to be in charge of their own financial situation and lifestyle have a deep desire to work with children. For some, it’s a calling that cannot be ignored.

There’s also many who enter the business who already have children. For them a home child care service makes perfect sense as a way to supplement their income, spend more time with their own children and stay at home.

It’s advisable to be aware that not all child care careers are right for everybody. You might have the perfect skills in caring for small children, but lack the time, experience or income to seek out a more advance career as a pediatrician or doctor. In this case child daycare would be the perfect outlet to share your love of children and your talents with others.

One of the first questions you should ask as as a person wanting to open a daycare is…”is there a genuine need in my area?” Funny enough, this is also the main question asked by anyone wanting to start a business of any kind.

It’s an important question to carefully consider because it will determine what course of action you’ll take. This process is called the “market analysis.”

Simply put, it is necessary to determine if there’s a real demand for your services and it also helps you figure out what services to offer.

Thinking about it usually leads to more difficult questions you must ask yourself to be sure your not wasting your time. The first step toward organizing your daycare service is to ask yourself these questions:

* Does my community need a new daycare?
* Who will my first customers be?
* Do I know which child care service to offer?
* Will I be serving a specific niche market?
* Do I know what services are being offered locally

There are many questions like this that must be asked before you can deal with  the earliest phases of your decision making process.

Some of these questions such as, if you’re going to offer niche services might be determined by other parents you’ve talked with. Is your community lacking a special type of child care business?

Some opportunities arise when you are involved with church functions or are involved with certain activities. There might be a special need for children whose families live in a certain area.

Asking, researching and knowing the answers to these questions in advance will help you focus your attention where it will be most beneficial and get you ready to start your business.

In the next post I’ll cover some other very import considerations including a sample daycare business plan you can use to get started.

How to Start a Home Daycare

How to start a home daycare is a question that’s best answered by first putting some perspective on the business in general. For example, when you think of a day care business, do you think about a massive day care facility, with the image of a building with many children playing on the outdoor playground?

Or, instead do you picture your own house with a few children busily doing activities at the kitchen table.

If you immediately think of the giant day care facility with hundreds of children, playing on thousand dollar equipment, then you may need to re-adjust your thinking. While thinking big like this is fine as a long term goal, it usually isn’t practical or affordable in the short term. You should consider that starting out in child care doesn’t usually fit that picture, unless you use some form of financing or receive government grant money.

The vision of running your own day care is entirely possible and affordable to start right out of your own home. In fact, many day care providers are very successful doing it in this type of setting. With that said, it’s important to focus on the type of day care facility that’s right for you and your goals.

There are primarily three types of child care facilities you can offer. They are:

1. Home day care
2. Day care center
3. Family Care

Each of the main types of child care services can be further broken down into sub-sections which target specific needs.

For instance, home child care can be as simple as babysitting or supervising a single child, as a nanny from home. Home child care can also be categorized as a child care development home, which may host up to five children with no more than two infants at a time. In addition there’s at home satellite child development programs, where a private residence is linking together with a child development center in order to provide training, assistance and support.

For day care and child development centers there’s also sub-sections to provide for the specific needs and service required in the community. For instance some child care centers focus on providing a variety of programs to enhance intellectual growth and promote healthy emotional habits. Some facilities provide a climate that encourages social interaction and applies teaching based on the stage of the child’s development.

Day care centers can focus on before and after school care to give children a healthy and safe alternative from being alone during those times. There are also nursery schools which primarily are used as a preschool for children during the normal school year. Some care centers focus specifically on being infant care centers which provide care for infants and toddlers that are two years old or younger.

Family care is typically a live-in nanny of part time situation where the child care is provided from the families home. This can include other duties including house cleaning and cooking depending on the agreement made with the host family.

As you can see there are some issues to take into consideration before you launch your day care with a full scale care facility with all of that associated costs involved. In the next post I’ll share some basics of starting a daycare to help you decide which type of child care business is right for you.

If you’d like to receive a complete success system to opening a daycare, you’ll want to get the, Start Your Own Daycare System, right now!

How to Start a Daycare

If you’d like to learn how to start a daycare of your own then you’ll be happy to discover that the child care business is a fast growing opportunity with a ton of both income and growth potential.

For instance, approximately 1/2 of the children in the United States today are take care of by someone who is not an immediate family member. Even more astonishing is the fact that in over two thirds of the homes with two parents, both parents work.

More impressive is the fact that in more than 20% of the homes in the United States are children living with a single parent who relies on child care to work.

These are astonishing figures that explain why opening your own day care business is a solid business decision, regardless of the current economy. As money gets tight, more people need to go back to work, creating even more opportunities in child care.

In addition, since as early as 1972, married women with children have been the fastest growing segment in the job market. The demand for child care services steadily increases as women seek to supplement house-hold income by going to work.

Since we’ve determined there’s a definite need for child care service it’s also important to identifying existing day care services in your area.

When you open a day care service of your own you’ll want to differentiate yourself from any competitors. You do this by carving out your own niche in the market.

You can do this by offering child care services not offered by your competitors or targeting under looked areas in the market.

For instance, you might have overheard that there is a demand for after school care in your neighborhood. Maybe, some of the local day care facilities only provide care for children above the age of three. In this case, you could offer care for newborns, infants, toddlers or older children.

You could also other parents that you know in the community how they feel about day care in your area. Is there some feature being underrepresented? It could be that there’s a huge demand for after school care that’s not currently being offered by anyone else.

To determine what type of day care services that will be best for you to offer in your community, try asking yourself these questions…

* What types of day care facilities exisit in my area?

- How many are there? – Are they nearby? – Do they offer activities?

* Is there a waiting list to get in nearby child cares?

* Are they serving newborns, infants, toddlers, preschoolers and schoolaged children?

* Are there any service not currently being offered that have a need?

* What service do the current child care services offer?

* Is there a demand for night care, after school, on call etc?

* What hours are the child care facilities open?

* What are the complaints people have that you’ve talked to?

* What services could you offer to fill a need in your area?

You can locate more information about specific child care programs in your area by doing the following:

* Check the yellow pages

* Get online and search for, day care (your city)

* Contact your local city hall’s licensing office for more details

Answering the above questions and doing a little research into your local competition, should give you some great ideas. Now you’ll know exactly what the needs are in your community and be able to position your own child care service to meet the demand.
